POLICY

Several independent personal computing systems exist on the ASU campus. These systems vary in complexity and may involve local area networks or consist of only one individual computer. These systems may have been developed on campus or may have been acquired from outside firms. As can be expected, the number of these types of systems on campus is expanding rapidly. With the acceptance and benefits of the personal computer, this is a very predictable direction. In fact, it is conceivable that every office and department on campus will have a "system" of some magnitude, if they don't already.

The existence of these independent systems on campus has resulted in an expectation of support from Information and Technology Services that has become difficult to maintain. The sheer number and variety of systems have exceeded the available resources. But, the fact that personal computer systems are supposed to be just that, "personal," does not preclude the need for various types of support. It is with all this in mind that the following support guidelines are presented. This scenario should help explain what is expected of Information and Technology Services personnel and what is expected of the end user. The goal of these guidelines is to provide an understanding of support responsibilities leading to optimum system usage.

User Responsibilities

  1. At least one full-time individual in the department or office must have a thorough knowledge of the application and how to use the system. It is highly recommended that a second full-time individual function as a back up. This may require special training from the vendor or self training of the part of the user.

  2. Install new version or changes to the system as they are provided from the vendor.

  3. Maintain backups of the software system as well as data on a regular schedule.

  4. Prepare or identify vendor documentation for backup, year end, month end, or other special processing requirements. Be knowledgeable of any special needs in these areas.
Information and Technology Services Responsibilities
  1. Assist in the preparation of specifications and requirements for the system. Review contract terms as requested.

  2. Help with the initial installation of the system if necessary.

  3. Act as a consultant to interpret vendor requests and instructions when required.

  4. Assist in determining if a system problem really exists.

  5. Provide guidance and consultation in the preparation of procedures and documentation for backup, year end, month end, or other special processing requirements. Assist in establishing other necessary production operations to ensure procedures properly documented.
